Coming soon: DocFinity Document Management System

DocFinity is a new enterprise-level document management system that will replace current document storage systems across the Universities of Wisconsin. Starting in Spring 2026, DocFinity will be used to store all HR and financial documents.

What DocFinity will do

DocFinity will provide a single, secure system for managing documents. Key features include:

  • Automation – Reduces manual work, minimizes errors, and standardizes processes
  • Enhanced security – Protects documents with retention rules and access controls
  • Reporting tools – Tracks activity and supports custom reports
  • Improved user experience – Integrates with existing applications
  • Workflow and form tools – Creates, routes, stores, and retrieves forms and documents
  • Centralized storage – Provides one secure location with automated backup, disposal, and legal hold

Phased Implementation

DocFinity will be implemented in three phases:

  • Phase 1 – DocFinity Core: Design and build the core document management system.
    Go-live planned for Spring 2026.
  • Phase 2 – HR and Finance Conversion: Retire legacy HR and finance document systems and deploy DocFinity for systemwide HR and finance use.
  • Phase 3 – Student Records: Support the transition process for student records at universities that choose to participate in the document management conversion.

Training and support

Training plans are being developed to prepare staff ahead of the DocFinity go-live this Spring 2026.
